  • Organisation name and job role (if applicable)

b) Patients & Service Users

When you receive medical treatment from us (e.g. at an event or through our ambulance services), we collect and record information relevant to your care, including:

  • Name, date of birth, contact details

  • Medical history, allergies, medications, and presenting condition

  • Clinical assessments, treatments, and medications administered

  • Details of the incident, event, or location

  • Any relevant safeguarding or incident information

This information is recorded on secure Patient Report Forms (PRFs) within our electronic system (SALUS).

3. Our Lawful Basis for Processing

We process personal data under the following lawful bases defined in the UK GDPR:

5. Sharing Your Information

We only share data when necessary and always lawfully.

All disclosures are recorded and authorised by our Data Protection Lead.
We will never sell your personal data or use it for advertising.

6. How Long We Keep Your Information

We retain data in line with NHS and Department of Health guidance:

Adult patient records 7 years after treatment
Child patient records Until 25th birthday (or 26 if treated at 17)
Event or incident data 7 years minimum
Training and course data 3 years
Website enquiries 12 months unless converted into a booking
Financial records 7 years (HMRC requirement)

After the retention period, data is securely deleted or destroyed.

7. Your Rights

You have the right to:

  • Access a copy of your data

  • Request correction of inaccurate information

  • Request deletion (where legally possible)

  • Restrict or object to certain types of processing

  • Request transfer of your data to another provider (data portability)

  • All patient data is stored on secure, encrypted servers (SALUS platform) or encrypted cloud storage.

  • Access is restricted to authorised staff using individual login credentials.

  • Staff receive mandatory annual GDPR and information governance training.

  • Paper records are stored in locked cabinets within restricted-access areas.

  • Data sharing is logged and reviewed under our Governance & Quality Management Policy.
